Student Worker Training: How to: Swap a Shift

Guide for training of Library student workers

If you are unable to work one of your shifts (and your schedule allows it), you can propose swapping it with one of your coworkers. When swapping a shift, you'll select a shift assigned to one of your coworkers that you're eligible to work. That request is then sent to your coworker, who can then accept or reject the request. Until then, you will remain assigned to your original shift.

To Propose a Swap:

1. While on the dashboard, click the SWAP button for the shift in the MY UPCOMING SHIFTS tab.

 

2. In the window that opens, you can choose a shift from a fellow co-worker that you would want to swap with by clicking the REQUEST SWAP button.

  • Note: The only shifts that you will see are ones where you can work (based on your availability and positions requirements for shifts) that shift and the person assigned to that shift can work the shift you are trying to swap.

 

 

3. The person working the shift you have proposed for a swap will receive an email notifying them of the proposed swap. And they will see the SWAP REQUEST box on their dashboard the next time they log in. (More below)

4. Your shift will be marked as SWAP - PENDING until a co-worker picks up the shift. 

 

Respond to a Swap Request:

1. On your dashboard, you will see the SWAP REQUESTS box where any pending requests for swaps will be made.

2. For the pending request, choose either ACCEPT or REJECT to complete the swap. 

Canceling a Pending Swap Request:

If you want to cancel a shift swap request you have made, click the SWAP - PENDING link. If the swap was rejected, the original shift will still appear in your list of shifts.
